Colliers Launches Reworks, an AI Platform to Optimize Office Utilization

In response to this, Colliers has introduced the Reworks digital platform, an interface which optimizes office utilization faster and more cost-effectively than traditional methods.

“In recent years, we’ve received more and more questions from companies about how to measure workplace performance objectively, what standards prevail in the market, and how to update office design and operational guidelines to deliver real value,” says Jana Vlková, Director of the Workplace Advisory and Office Agency divisions at Colliers. She adds: “Data from our partner Basking.io shows that average office occupancy has stagnated at around 35 percent over the past four years. For many companies, maintaining office space based on pre-pandemic models has proven inefficient. Reworks offers a data-driven way to evaluate office performance, identify opportunities for improvement and optimize space. This enables companies to make decisions based on actual office usage.”

Office space experts built Reworks, a digital platform powered by artificial intelligence. It measures actual space utilization, aids strategic planning, creates design guidelines and visualizes future scenarios. Clients enter specific operational data (such as employee attendance statistics, meeting room utilization rates and space guidelines) into the system. Based on this data, the platform generates an optimized proposal and supplements it with visual models. These visual aids help managers understand proposed changes before implementing them.

“At the heart of this approach lies the concept of ‘right-sizing’, precisely tailoring an office portfolio to the organization’s actual needs. Companies that paid for largely unused space for years now possess a tool that quantifies inefficiency and proposes concrete solutions,” adds Jana Vlková.

A Comprehensive, Integrated View

The Reworks platform consists of four interconnected components. The Measure module helps organizations evaluate their work environment performance objectively based on operational data. Companies enter information about their office spaces, including data on usage, costs, headcount, workstations, room occupancy and environmental metrics (e.g., energy, water and waste). The platform also includes employee satisfaction data. It converts these inputs into clear metrics and market comparisons, identifies improvement opportunities and proposes specific measures that drive efficiency, lower costs and boost employee satisfaction.

The Guide module creates, manages and updates corporate workplace standards. It maintains consistency across internal guidelines for global portfolios and aligns them with current business needs.

Then there is the Calculate module. It transforms these standards into concrete figures, specifically detailing square footage requirements, workspace layouts and alternative portfolio scenarios.

Finally, the Visualization module uses output from the Calculate module to generate detailed 2D and 3D renderings and virtual tours.

Costs Five Times Lower

Colliers experts estimate that workplace optimization through Reworks costs up to five times less than traditional methods. “The Guide and Calculate modules process data 90 percent faster and cost less than half the price of standard approaches. Meanwhile, the Measure module provides four times the value, delivering occupancy, efficiency, sustainability and market data for the price of a single employee survey,” explains Jana Vlková.

The platform cuts design revisions by 40 percent, accelerates space-planning approvals by half, and shortens stakeholder coordination by over a quarter. Additionally, AI generates 3D plans and virtual tours within 24 to 48 hours for a cost equal to a standard 2D test-fit.

Once Reworks generates the optimized design and supporting data, Colliers consultants help clients interpret results and execute changes. “Practical experience shows that even the best analysis becomes cast-aside paper unless someone translates it into the company's culture and business priorities,” concludes Jana Vlková.
